Weekly reporting

Every Monday, Acme CRM’s team wants the same answer: are more people signing up, activating, staying and paying than last week? This walkthrough builds one board that answers it at a glance, sets alerts so nobody has to watch it, and ends with a ten-minute routine.

The goal

By the end you will have an Acme weekly board that opens on the last 7 days compared with the week before, alerts that email you when a key number leaves its usual range, and a routine for reading both. It uses the funnel from Find where signups drop off and the insight from Where do our best users come from?; build those first, or swap in your own.

1. Choose five numbers

A weekly board that needs scrolling doesn’t get read. Acme picks one number per question:

2. Save the missing reports

Revenue needs an insight of its own:

  1. Open Insights and click New insight.
  2. Set the series to Invoice paid and choose Sum of a property, with amount_cents as the numeric property.
  3. Set Interval to Weekly.
  4. Name it Revenue by week (cents) and click Save.

3. Set up the board

If you added the activation funnel to a new board called Acme weekly, open it from Boards. Otherwise:

  1. Open Boards and click New board.
  2. Name it Acme weekly. For the description, the question it answers: Are more people signing up, activating, staying and paying than last week?
  3. Under Start from, choose Blank, and click Create board.

New boards are visible to the whole team. Anyone you want to read it needs to be a member of the project; there are no public share links.

4. Add the tiles

Click + Add tile for each:

  1. Note: the week’s commentary, in Markdown, up to 4,000 characters. Put it first.
  2. Big number › Active people.
  3. Big number › Week-1 retention.
  4. From Saved reports: Sign-ups by source and Revenue by week (cents). Saved insights come in as linked tiles, so later edits show up here too.
  5. The activation funnel, if it isn’t there yet: from Saved reports, or with Add to board › Linked on the funnel.
  6. Section header tiles, such as Acquisition, Activation and Revenue, to split the board into chapters.

A first note might read:

5. Arrange it

  1. Click Edit layout.
  2. Drag tiles by their grip into reading order: the note, then the big numbers side by side, then each section.
  3. Set the big numbers to ¼ or ⅓ width, and the funnel and insights to ½ or Full.
  4. Press Done. Nothing is saved until you do, and Cancel throws it all away.

6. Set the week as default

  1. In the board’s filter bar, set the dates to Last 7 days.
  2. Turn on Compare.
  3. A strip appears: Filters changed · applies to every tile, only for you. Click Save as default.

To give one tile its own range, such as 12 weeks of revenue, tick Ignore the board filter in its settings and choose a tile range.

7. Make it easy to open

From the board’s ••• menu:

  • Set as my home board: the project opens on it. This is yours alone; each teammate can choose it too.
  • Pin to sidebar, so it sits in the navigation.

8. Mark what changed

When something ships or a campaign starts, the team should see it on the charts. Choose ••• › Annotations…, pick the date, type a label of up to 80 characters, such as New CSV import, and choose a colour.

9. Add alerts

A board shows the numbers when you look. Alerts tell you when you should. Add three:

  1. On the funnel tile, open … › Watch this…, or open Alerts › New alert and choose Saved funnel with your activation funnel.
  2. Under Tell me about, keep Big changes only: roughly one alert a month on a settled metric.
  3. Check What we have to work with: how many days of history there are, and whether the baseline is solid or still learning.
  4. Under Delivery, in-app is always on. Tick Email and choose who gets it.
  5. Click Start watching.
  6. Repeat for Retention · Week 1 retention, and for Source volume · Events from Billing backend with Moderate, emailed to the engineer on call, so a silent webhook is caught within a day.

Each day is compared with the same weekday over the previous six weeks, so a quiet Sunday isn’t an alert. In-app alerts work on every plan; emailing them is part of Pro. See Alerts.

10. The weekly digest

If you work across several projects as an agency, ClickClacks can email you a summary every Monday at 08:00: each project’s visitors against the week before, its biggest change, firing alerts, stopped sources and events against your plan.

  1. Open Alerts in the agency sidebar.
  2. Turn on the Weekly digest switch. It is yours alone, and free on every plan.

With a single project, like Acme, you won’t see the switch. The home board and alert emails do the same job. See Weekly digest.

11. The Monday routine

  1. Open the project. It lands on Acme weekly.
  2. Read the big numbers and their change against last week.
  3. Open Alerts › Fired. Anything under Needs a look? Open it and read What changed, which shows where the gap is concentrated. Acknowledge it so the team knows someone is on it.
  4. Drill into anything odd. A tile’s … menu has Show events and View people; clicking a value, such as one source, offers Filter this board to it. Reset in the Filters changed strip goes back.
  5. Write the note. Three lines: what moved, why you think so, what to watch.

Common mistakes

  • Twenty tiles. Nobody reads them. Five numbers, a note, and links to the detail.
  • Changing filters without saving. Filter changes on a board apply only to you until you click Save as default.
  • Editing a linked report by accident. Linked tiles follow the saved funnel or insight everywhere. To experiment, use Duplicate as standalone in the tile’s settings first.
  • Expecting a segment filter on the board. Boards don’t take one yet. Save a segment-filtered insight or funnel and add that.
  • Line over time for everything. That tile charts active people. For any other event over time, save an insight and add it.
  • Tuning alerts to “Everything unusual”. A noisy alert gets ignored. Start with Big changes only.
